The Opportunity We are seeking a reliable and detail-oriented Office Assistant to support the daily operations of our office and help keep things running smoothly. This role is ideal for someone who enjoys staying organized, juggling multiple priorities, and being a go-to resource for both internal team members and external contacts. As an Office Assistant, you will play an important role in creating an efficient, professional, and welcoming workplace. You’ll provide administrative support across departments, manage routine office tasks, and assist with projects that help the business operate effectively. This is a great opportunity to build foundational business skills, gain exposure to multiple functions, and grow within a collaborative team environment. Your day-to-day will initially include: Manage front office duties including answering phones, greeting visitors, and coordinating incoming and outgoing shipments Maintain filing systems (digital and paper), ensuring records are organized and easy to access Order office supplies and maintain office supply inventory Organize and maintain company swag inventory Order and maintain breakroom snacks and meals Schedule meetings, coordinate calendars, and support internal communications Ensure office space remains clean, organized and professional Support timekeeping processes by entering timecard information and resolving basic timecard discrepancies for our Turnkey Division Arrange all travel accommodations (flight, hotel, and vehicle rental) for mobilization and demobilization for employees in our Turnkey Division Process basic invoices as needed Assist with tracking employee training, certifications and any compliance documentation. Support basic invoice tracking and all required documentation. Prepare and submit a monthly Concur report for office expenses and assist with additional Concur reports for CEO & President Assist with event planning for meetings, tradeshows, and company functions. Provide administrative support to HR/Accounting/Field Service function as needed. Responsibilities and tasks may evolve based on organizational needs and the employee may be required to take on additional projects or duties as assigned.
Requirements
High School Diploma or GED equivalent; 1-3 years of experience in Administrative Assistant, Receptionist, Front Desk or Office support roles.
